POSITION TYPE TERM (One Year), FULL-TIME
Four Arrows Regional Health Authority Inc. (FARHA) is seeking a motivated Medical Office Administrator to join their team with the Manitoba Anishininew Mobile Addictions Network. The medical Office Administrator provides comprehensive administrative and clerical support to the Addiction program team. Salary range $45,000 to $50,000, based on education and experience.

Responsibilities:
- Provide reception and administrative support, as assigned, in a professional manner.
- Responsible for formatting and lay out of work, accuracy, proofreading and editing.
- Provide reception services for staff and clients, including scheduling of client appointments.
- Optimize clinic function by scheduling appointments in person, by telephone, email or fax.
- Maintain Outlook & Accuro calendar for staff – physicians, pharmacist, nurse, counselor, harm reduction worker.
- Responsible for mail services including sorting and sending.
- Maintain electronic & paper-based filing systems – filing paperwork, lab results, correspondence.
- Database record management, including recording and organization of reporting metrics.
- Prepare accounts payable information.
- Participate in regular office procedures including photocopying, faxing information, answering information requests.
- Participate on committees, team or work groups at a local, regional or provincial level as required.
- Take minutes/notes on committees or at meetings.
- Ensure that duties are conducted to reflect good communication to staff, clients, and the general public.
- Ability to attend to multiple priorities in a fast-paced, multi-disciplinary environment.
- Maintain business office inventory and equipment by checking stock to determine inventory level, anticipating needed supplies, placing, and expediting orders, verifying receipt of supplies, scheduling equipment service and repairs.
- Supporting the team with booking travel and accommodations to partner communities.
- Liaising with community workers to schedule virtual follow-ups with the team as needed, using Telehealth, phone or other virtual platforms.
- Working closely with FARHA finance and human resources divisions.
Qualifications
- Completion of a recognized business or community college course in the office/medical administration area.
- Minimum of 1 year experience and/or a suitable combination of education and experience.
Required skills & experience.
- Knowledge of medical terminology and electronic medical record and data collection experience.
- Ability to handle a varied workload in an organized and efficient manner.
- Knowledge of medical terminology.
- Knowledge of relevant healthcare legislation and privacy regulations (e.g.PHIA).
- Excellent English communication skills including ability to prepare written information for reports and projects.
- Ability to work in a team environment and to work independently with general direction.
- Ability to handle reception duties and to deal effectively with staff, adult clients, and the public in a calm and tactful manner under a broad range of challenging circumstances.
- Demonstrated knowledge and proficiency using Microsoft Office (Word, Excel, Access, PowerPoint, Outlook), Digital communications/advertising like Canva, social media platforms is considered an asset.

- Knowledge of Accuro and e-Chart.
- Knowledge of the mental health and addiction services in Manitoba.
- Indigenous language skills.
- Demonstrates a commitment to client-centered care, harm reduction and trauma-informed care.
- Ability to adapt quickly to changing situations and priorities.
- Conversational fluency in Anishininew language.
- Knowledge of First Nation culture, customs, values, and traditions.
