Team Lead Job Description:
Training new staff:
- Train new staff when assigned to do so, create a welcoming environment conducive to good learning.
- Ensure potential staff leave their training shifts with all the basics, including a copy of the training manual for reference.
- Encourage and teach each potential employee how to do logging, MARS, wake ups, Incident Reports, and shift-change.
Scheduling:
- Complete the schedule, by the 15th of the month, for the following month.
- Fill open shifts with your team or any available staff, via call or text.
- Alert House coordinator if staff go home sick or fail to arrive for a shift.
- Update the schedule with any changes as they happen.
Youth Case Planning:
- Follow up and help the team complete “Next Steps” for the youth after their progress meetings with their social workers with the goal to complete it before the following month.
- Check off completed tasks as they occur.
- Remind youth and your team about the importance of completing these steps prior to the next progress meeting.
- Ensure youth’s binders have complete information, if not request the assistance of your team to complete it.
- Update binders, contacts, new medical information etc. as it occurs.
- Ensure intake documents have been filled out, signed, and filed.
- Attend youth progress meetings whenever possible.
- Ensure youth have a copy of their monthly report.
- Disburse youth funds twice a month.
- Alert finance to birthday and graduation gift needs.
- Regularly consider how individual youth/staff are doing, mentally, physically and plan to support their needs.
- Ensure that youth are up to date with all medical appointments and identification needs.
- Attend school meetings, medical meetings, case planning meetings or ensure a youth care worker attends on their behalf.
- Participates in the development of an individual care plan for each youth, which is tailored to their needs, and which is reviewed at agreed upon intervals during the youth’s stay at the program.
- Ensure that in accordance with the agreed care plan that the youth receive adequate medical, psychological, dental care or other specialist services as required.
- Ensure staff respect the youth’s religious, cultural, ethnic, and language background and to encourage youth to exercise practices appropriate to that background, where possible.
- Ensure that, in accordance with the agreed care plan, that the youth have appropriate contact with relevant people in their life.
- Protect youth from bullying, intimidation, harassment or racial abuse on the grounds of their race, colour, religious or ethnic background.
- Monitor youth budgets to help determine whether they need to be on gift cards or could be elevated to cheques.
Team Management:
- Collaborates with other team leads.
- Builds a strong relationship with team members, assessing their strengths and areas for growth.
- Ensures that all information relating to the youth and staff colleagues is treated in a thoroughly professional manner and that confidentiality is strictly maintained.
- Leads by role modelling, ensuring that all staff are treated equally and to encourage and assist staff in their professional development.
- Encourages the team to work together to complete tasks and to divide duties fairly.
- Creates a positive work environment that encourages communication and motivation.
- Monitors for staff feeling left out of the team.
- Monitors for staff not performing at an optimum level, regarding expectations.
- Monitors for staff unable to build significant relationships with youth.
- Recommends staff for a letter of recognition for superior work performance or for a promotion.
- Leads by example, does what the lead expects their team to do.
- Resolves conflict and addresses any issues as they arrive.
- Notifies Human Resources and Management when there is a staff concern.
- Teaches and reminds staff of protocols, procedures, and all changes to work expectations.
- Works through conflicts that may arise between team members.
- Ensures that staff understand that youth are the priority of every team member.
- Encourages staff to build strong trusting relationships.
- Arranges monthly staff meetings.
- Remains on budget and works to minimize additional costs.
- Participates in regular supervision with management to address issues for staff, concerns around the youth, or any other issues which may affect the care of all youth.
Documentation:
- Tracks and completes expense reports monthly.
- Confirms any money, gift cards etc. is counted daily by two people.
- Ensure daily logs are properly filled out and assist staff to make changes to their style of logging when necessary.
- Completes Incident Reports with team members within a few hours of the incident occurring. Send an email to alert there is an IR pending if the time of day/situation does not allow it to be completed in a timely manner.
- Files monthly logs at the end of each month, with their teams help using the File Return form.
- Prepares year end return of files and returns them as soon as possible.
- Returns all files on the day or the week a youth is discharged from the program.
- Familiarizes all staff with the file return policy.
- Takes direction from management as needed. Share the expectations and directions with your team.
- Make sure the team knows how to do everything the lead does, so that in the lead’s absence, things will still get done.
- Ensures that fire drills are completed and recorded monthly, and that First Aid Kits are kept fully stocked.
- Sends all meeting minutes to management.
Medication:
- Monitors the disbursement of medication and the MARS sheets requirements.
- Ensures staff disburse medication at the times the prescription outlines.
- Orders new medication so there is no lapse in supply.
- Arranges month end medication returns, using the Medication return form.
Housekeeping:
- Guides the team to maintain a clean work environment, modeling this practice for the team and for youth.
- Addresses youth struggles with cleaning and assigns these tasks to teach the youth.
- Does regular checks of the building for damage, lightbulb replacement, down pipes, and other issues.
- Alerts Maintenance and Finance of any repairs, damages or furnishing needs.
- Sees that lawns are mowed, and snow is shovelled in a timely fashion.
- Prepares vacant youth suites right away when a youth moves out.
Youth Employment:
- Guides youth in the process of job seeking, work etiquette, and expectations.
- Balances youth work schedules against school schedules and staff schedules so appointments can be completed.
- Assists youth to get to and from these tasks if the situation presents itself as needing an intervention.
- Research resources and assists with resume writing, interview practice and possible employment possibilities.
- Helps youth to prepare for moving out, setting them up with EIA and apartment hunting.
- Prepares youth for Age of Majority Planning and purchases, sends receipts to finance house coordinators in a timely manner following google doc instructions.
Qualifications
This management position requires past experience in the overall group home operation.
