POSITION TYPE INDEFINITE TERM (Subject to end with 24 Hours Notice), FULL-TIME
Position Summary and Scope of Service
Reporting to the Senior Manager, Human Resource Services and consistent with the Mission, Values and Policies of St. Amant and the Principle Functions and Objectives of Human Resource Services (HRS), the Human Resource Assistant (HRA) performs duties related to administrative support to the various HRS functions and programs.
Quality services are evident when professional communication, timeliness, accuracy, ethical awareness, sensitivity and confidentiality are consistently demonstrated, as required by legislation and program/service standards.
Duties and Responsibilities
Program/Service Support:
The incumbent is responsible for duties related to providing administrative support to various HR functions and programs. The incumbent works collaboratively with the other HR Assistants, Talent Acquisition Specialists and HR Consultants as part of a team delivering HR services.
Duties include:
- Provides Reception support for the HRS team
- Monitors and distributes incoming communications for the HRS team (email, mail, phone, fax)
- Manages compliance activities for new and existing hires related to background checks and conditions of employment
- Conducts file audits to ensure all required documentation is received and follows up as required
- Follows up with departing employees to facilitate exit interviews
- Prepares Employee Verification documents
- Tracks, inputs and monitors employee and organizational data
- Creates ad-hoc and recurring reports
- Initiates and inputs human resources related changes and updates to the HRIS system
- Maintains employee filing and other relevant documentation
- Assists with Sign On services, material and equipment
- Prepares correspondence, forms or documents from drafts as required to support the HRS team
- Assists with special projects
Qualifications
Educational:
- Post-secondary education in Human Resource Management is an asset
Professional:
- 2 or more years of work experience in human resources preferably in a health care or family services setting
- Experience working with employees and the public and in an effective and professional manner
- Superior organizational skills to manage large volume activities
- Excellent data entry accuracy and attention to detail
- Good understanding of human resources-related legislation, HR policies and collective agreements
- Good computer skills using Microsoft Office (Word, Excel, Outlook, Internet Explorer) and Chrome
- Experience using QHR or another HRIS
- Bilingual in both French and English is an asset
