POSITION TYPE TERM, SUMMER, 30 to 37.5 HOURS/WEEK
Position Summary: Reporting to the Director of Finance and Operations, the Administrative Support role plays an important part in keeping the agency organized, efficient, and running smoothly. This position provides day-to-day administrative and logistical support across the organization, with a strong emphasis on systems coordination, document management, scheduling, and information flow.
Responsibilities:
- Maintain organized digital and paper filing systems for agency documents, contracts and records
- Ensure documents and forms are current and consistently formatted
- Support with Centre-wide calendar management, including scheduling meetings and shared space use
- Coordinate branded staff merchandise including ordering and tracking
- Support onboarding & offboarding by organizing orientation materials, access and equipment set up
- Maintain administrative tracking tools & forms
- Support the Executive & Administrative teams with tasks as required
- Deliver materials between Centre sites and run a variety of errands
- Provide vacation coverage for the Admin team
- Contribute to continuous improvement of administrative systems
- Support with summer event planning

- Actively participates in relevant staff meetings, committees and trainings
- May be required to perform other duties and functions, as assigned
Essential Knowledge, Skills and Abilities:
- High skill level with computerized systems (Microsoft Word, PowerPoint, Excel, SharePoint and other Outlook application software); experience with digital calendars
- Strong organizational skills
- A valid driver’s licence and access to a vehicle
- Attention to detail and a commitment to completing tasks carefully and accurately
- Ability to manage multiple tasks and able to respond effectively to changing needs
- Motivated, self-starting, detail oriented and exceptional organization and time management
- A hands-on, forward-thinking planner and problem solver, capable of anticipating and dealing with challenges proactively
- Professional and responsible with sensitive and confidential issues
- Excellent interpersonal communication and conflict management skills
- Ability and willingness to work within anti-racist and anti-oppressive frameworks and actively engage in ongoing learning about these frameworks
Work Conditions
- Day-time, weekday schedule
- Work in an administrative office within a transitional housing building that the Centre operates
- Primarily seated desk work
- There is a risk of exposure to potentially unpredictable behaviors and situations
