POSITION TYPE PERMANENT, FULL-TIME
Background:
This role will provide high-level dedicated administrative support to the Executive Director and the Board of Directors. This position ensures efficient daily operations, supports governance functions, manages internal and external communications, and contributes to the marketing and public relations efforts of the organization. The ideal candidate is detail-oriented, adaptable, and able to maintain confidentiality while managing multiple priorities in a dynamic environment focused on supporting relatives in recovery.
Key Responsibilities:
- Provide comprehensive executive support to the Executive Director, including calendar management, travel arrangements, correspondence, and meeting preparation.
- Attend and document meetings by taking minutes, transcribing, and distributing notes for both internal and board-level meetings.
- Support Board of Directors operations by managing member records, arranging travel, preparing agendas, and distributing board materials.
- Coordinate Annual General Meeting (AGM) logistics, including committee assembly, material preparation, and minute-taking.
- Assist the Executive Director in writing comprehensive reports and handling formal email communications with funders and external partners.
- Coordinate and maintain Accreditation Canada documentation and timelines, ensuring timely recertification and compliance with accreditation standards.
- Manage marketing and communications efforts by developing strategies, creating promotional content, and maintaining brand consistency across platforms.
- Handle confidential and sensitive information with discretion while ensuring professional standards are maintained across all responsibilities.
Required Qualifications:
- Post-secondary certificate or diploma in Administration, Communications, Marketing, or related field (asset).
- Minimum 5 years of senior-level administrative experience preferably in the nonprofit environment.
- Proficiency in relevant software applications, including Microsoft Office Suite (Word, Excel, Outlook, PowerPoint), Canva for design and communications materials, and other administrative or project management tools as needed.
- Experience in collecting data, preparing reports, and managing correspondence.
- Excellent verbal and written communication skills.
- Ability to maintain a high degree of confidentiality and professionalism.
- High attention to detail and accuracy.
- Exceptional time management and multitasking skills.
- Willingness to learn and a proactive approach to understanding tasks, systems, and organizational priorities to effectively support the Executive Director and broader operations.
- Strong understanding of Indigenous cultures, histories, and healing traditions
- Ability to speak and understand a First Nation’s language is considered an asset.
